Refund & Cancellation Policy
At Valkyrie Archery, we understand that life can sometimes get in the way of your training. However, because our sessions require significant preparation—including venue booking, horse logistics, and instructor scheduling—we operate the following policy:
1. Cancellations & Rescheduling
More than 48 hours’ notice: You may reschedule your session or receive a full refund (minus any non-refundable transaction fees).
24 to 48 hours’ notice: You may reschedule your session for a future date, but no refunds will be issued.
Less than 24 hours’ notice (or No-Show): No refunds or rescheduling will be permitted. The full session fee will be forfeited to cover staff and venue costs.
2. Group Horse Archery Clinics (SPOND Bookings)
Bookings made through the SPOND app follow the specific cancellation deadline set within the app for that event (72 hours).
If you cancel after the SPOND deadline, a refund will only be issued if we are able to fill your space from the waiting list.
3.Vaccination Requirements & Non-Refundable Refusal of Service
As we operate across multiple locations and venues throughout Scotland, we must strictly adhere to regional biosecurity and venue-specific health protocols. It is a mandatory condition of booking that all horses presented to us must be fully up to date with their Equine Influenza vaccinations, in accordance with [insert your governing body, e.g., British Equestrian (BEF) / horsescotland] rules. A valid passport showing a compliant vaccination history must be available for inspection at the location.
If we, the venue management, or an official refuse entry or service because your horse’s vaccinations or booster records are incorrect, expired, or missing, no refund, transfer, or credit will be issued under any circumstances. It remains entirely the responsibility of the owner/handler to ensure all passport details and vaccination dates are accurate and compliant before the scheduled date.
4. Weather-Related Cancellations
Archery is an all-weather sport, and we generally shoot in the rain ("Liquid Sunshine").
If Valkyrie Archery deems the weather unsafe (e.g., high winds or extreme lightning), we will cancel the session.
In this event, you will be offered a full refund or a priority rebooking for a future date.
5. Horse Welfare & Suitability (Participant's Own Horse)
As our clinics and "at your location" sessions require you to provide your own horse, the following applies:
Horse Fitness: It is the owner's responsibility to ensure their horse is fit, healthy, and capable of participating in the session.
Last-Minute Lameness/Illness: If your horse becomes unfit to participate within the 48-hour cancellation window, we unfortunately cannot offer a refund, as venue and instructor costs are already committed. However, you are welcome to attend the session for "Ground-Only" training (focusing on archery technique and speed loading) to ensure you still get value from the clinic.
Instructor Discretion: For the safety of the group, Valkyrie Archery reserves the right to ask a horse and rider to withdraw from a session if the horse appears distressed, dangerously out of control, or unsound. In these instances, no refund will be issued.
Tack & Equipment: It is the owner's responsibility to ensure all tack is safe and well-fitting. Any equipment provided by Valkyrie Archery (bows/arrows) must be used as directed to avoid spooking or injuring the animal
6. How to Request a Refund

Workshop Cancellation & Refund Policy
At Valkyrie Archery, our workshops and clinics are small, intensive, and often involve significant preparation for our horses and coaching staff. When you book a spot in the "Saga," we commit that space entirely to you. Because our sessions are highly sought after and limited in size, we operate the following policy:
1. Our Refund Terms:
More than 14 Days Notice: If you need to cancel your booking more than 14 days before the workshop date, we will provide a full refund (minus a small £5 administration fee) or a full credit toward a future session.
7 to 14 Days Notice: Cancellations made within this window are eligible for a 50% refund or a full transfer to a friend/family member (see "The Proxy" below).
Less than 7 Days Notice: Cancellations made within 7 days of the workshop are non-refundable. At this stage, resources have been allocated, staff have been scheduled, and it is unlikely we can fill the spot.
2. The Proxy (Send a Warrior in your place)
If you cannot attend, you are more than welcome to send a friend or family member in your place! Please just notify us at valkyriemountedarchery@hotmail.com at least 24 hours in advance with their name.
Camps & Multi-Day Events
Due to the intensive planning, venue hire, and limited spacing required for our Valkyrie Camps, the following specific terms apply:

Non-Refundable Deposit: All camp bookings require a deposit to secure your space. This deposit is strictly non-refundable and non-transferable under any circumstances, as it covers upfront administrative and organizational costs.

Balance Payments: The remaining balance for the camp must be paid in full by the date specified in your booking confirmation (typically 30 days prior to the start date).

Cancellations by You: * Cancellations made after the full balance has been paid but before the 30-day cutoff may be eligible for a partial refund (minus the deposit).

Cancellations made within 30 days of the camp start date are non-refundable, as we are unable to fill your space at short notice.

Cancellations by Us: In the unlikely event that Valkyrie Archery must cancel a camp (e.g., due to extreme safety concerns or unforeseen circumstances), you will be offered a transfer to a future date or a full refund, including your deposit.

Club Memberships & Weekly Sessions
Our clubs at The Nest operate on a subscription or monthly block-booking basis to ensure small group sizes and consistent coaching. To manage our waiting lists and staffing, the following notice period applies:
Termination of Membership: If you wish to cancel your club membership, we require a minimum of two (2) weeks' written notice prior to your next billing date or the start of the next month.
Notice Period Fees: Should you cancel with less than two weeks' notice, a final payment equivalent to two weeks of club fees will be due. This ensures the sustainability of the club and allows us time to offer the space to a warrior on our waiting list.
Missed Sessions: Club fees are calculated based on a reserved space in the range. Therefore, we do not offer refunds or "make-up" sessions for individual missed classes due to personal schedule conflicts, illness, or holidays.
